Position Summary
The Order Entry Officer position is primarily a customer service role. Two of the company’s main promises to our customers is to deliver products on time and ensure the highest level of customer service satisfaction, of which communication being an essential ingredient to these goals. Exceptional communication skills are essential as constant communication between the company and its customers around the globe in regards to their orders and deliveries is needed. In addition to this, the Order Entry Officer is required to maintain a high level of collaboration and communication with the production team in ensuring customer requirements are met.
As we like to have all process outputs documented, this position also requires that customer order forecasts and actuals are reported, lead times from Order Entry to Ex-Factory date and other customer-related data is also compiled and maintained every month.
Duties and Responsibilities
1.Receive, confirm and enter customer orders into our company ERP
2.Arrange bar-codes and various stickers according to customer requirements
3. Liaise and collaborate with the production team to ensure customer requested delivery dates are met, and confirmed.
4. Coordinate with customers on order details (quantities, Ex-factory dates and other requests)
5. Maintain, confirm and update customer orders and hand-over dates in the Belharra (BH) system. (PO tracking system by Rip Curl & RC-Licensees)
6. Maintain WIP and FG movements in the company ERP.
7. Various reports as required (Lead Time report, INFOTA, Forecast to Actual etc.)
8. Interface with production team, to keep up-to-date on ‘FPD’ (finish production.-dates) so as to update BH accordingly (Date change requests).
9. Work with Export/Logistics section, to ensure shipments are booked/planned and data is in BH accordingly.
10. Keep customers up-to-date on when Orders are completed and ready to ship. May need to clarify mode of transport (Sea/Air, etc.)
